Digital transformation used to be the domain of tech giants – seen as too complex, too costly, too far from reach for smaller businesses. But that’s changing fast. A wave of new initiatives is helping small and medium businesses (SMEs) adopt the latest AI technologies and stay competitive.
Making AI accessible: “test before invest”
Programs such as U.S. Tech Hubs and AI innovation centers worldwide share a common goal: democratizing access to advanced digital technologies. They help SMEs integrate AI into daily operations while providing the support they need – training, funding, and expert guidance – to overcome barriers like limited resources, skills gaps, and uncertainty around ROI.
A standout example in Europe is AI Magister, part of the European Digital Innovation Hub (EDIH) network supported by the European Commission. Its mission: to enable a green and sustainable digital transformation. One of AI Magister’s flagship services, “Test before invest”, lets companies trial AI solutions in real operational settings and assess their value and feasibility before committing financially.

Implementing AI solutions for small businesses
Through its membership in AI Magister and ongoing R&D efforts, Rulex has been delivering several Proof of Concept (PoC) projects that bring practical AI capabilities to SMEs.
Below are several examples of what this partnership has achieved (or skip ahead to how we built them):
Tourism : Extracting insights from years of PDFs
Imagine holding 15 years of tourism insights buried in messy PDFs, Excel files, scattered tables, and images – so disorganized that finding trends by category or location was nearly impossible. And with continuous updates from statistical institutes and sector studies, keeping everything aligned was even more challenging.
Using Rulex Platform, documents were imported with drag-and-drop tasks, then processed through a specialized tool for Large Language Model (LLM) integration, Rulex’s Text Recognition task. The task automatically extracted information from unstructured content and organized it into a clean table with fields like category, value, geography, year, while also consolidating data from the Italian Institute of Statistics. In under 10 minutes, the workflow generated 200+ verified data points from 50-page files, turning long-ignored material into searchable and analyzable data for insights.
Finance : Automating data extraction for fiscal procedures
How do you speed up tax procedures that still rely on slow, manual data entry? A consultancy company helping clients expand into international e-commerce extracts data from commercial and chamber-of-commerce PDFs and retypes it into foreign registration portals.
LLM-powered extraction in Rulex Platform was tested to automatically capture required information, structure it (e.g., in XML), and adapt the output to each portal’s format.
To further support the client, Rulex built an automated, rule-based analytics workflow that adds reliability and interpretability to the sales data. The system applies business rules to validate incoming information, detect inconsistencies, and flag anomalies that may indicate reporting issues or operational inefficiencies. Experts define these rules in plain English syntax directly in Excel, and Rulex’s Rule Engine applies them to the data. Unlike opaque machine learning systems, this approach guarantees full explainability and traceability, with every insight linked to an explicit condition – making results easy to understand, verify, and refine, which is essential for fiscal operations requiring rigor and auditability.
Beyond validation, the workflow also automatically performs key data aggregations (sums, averages, and comparative indicators), supporting faster and more accurate sales data analysis.
Maintenance : Generating constraint-based plans
Rather than just digitizing the old way of doing things, some companies are redesigning their processes from the ground up. A heating-systems company is automating the creation of maintenance schedules that must follow strict intervention rules – such as cleaning a component every six months or replacing others annually, based on customer needs and regulatory requirements.
By integrating Large Language Models directly into their workflow, technical specifications and client inputs are transformed into a complete intervention table with the correct tasks and frequencies, all generated through Rulex Platform’s no-code interface. Proposals are produced faster, with far less manual work and greater accuracy.
AI-powered digital transformation for SMEs with Rulex
Across all these examples runs a common thread: Rulex Platform, an all-in-one solution for data management and decision intelligence that brings together data orchestration, automation, and custom UI tools. One of its biggest strengths is accessibility, bringing advanced capabilities within reach for small and mid-sized businesses:
- LLM integration
Embed Large Language Models directly into processes via a dedicated, intuitive task for extracting structured data from PDFs and other unstructured formats. Setup takes only a few clicks: choose your preferred model – GPT, Llama (Meta AI), PaLM (Gemini), Mistral, and others – and connect two files, one with the input data and one defining the target structure. - Smart document handling
Import data from any source and format, work on it, and export results – even as an email attachment. - High performance with limited resources
Work across cloud, server, or desktop environments, with performance optimized even with a standard laptop hardware. - Seamless adoption
Integrate with your existing system and processes, including via APIs, without disrupting ongoing operations. Rulex Platform provides the flexibility you need while ensuring full data privacy. - Independent solution maintenance
Build, deploy, and maintain complete solutions through a no-code interface, reducing reliance on IT and avoiding vendor lock-in.
Strengthening SMEs through AI and R&D
Artificial intelligence should be accessible to every organization. Rulex drives AI adoption for SMEs by pairing strong R&D capabilities with practical implementation. Through EU-backed initiatives such as AI Magister, we help companies across industries leverage data automation and decision intelligence to achieve sustainable digital growth.
Let’s create real impact through R&D
